Mindflash's Advanced Reporting is available for: Standard, Premium, and Enterprise. 

Advanced reports allows you to further access data and results from your training initiatives. The data can be exported to PDF, Excel or CSV.

Filters

You can utilize the Filters on the top of every page to find the specific segment of users you're interested in viewing.

Group Name

  • Ability to select one or more groups.
  • All reports, when filtered by group(s), will reflect data for trainees in selected groups
  • Selecting multiple groups is creating an “or” statement i.e “Filter my reports by all trainees in the Sales group OR the Development group.
  • “Ungrouped” group is any trainee not associated with a group.

Trainee Status

  • Active - All trainees that are currently able to log into the account.
  • Archived - All trainees that are no longer able to log into the account.
  • This filter allows you to decide if your data should include ALL trainees, or if some trainees should be excluded based on status.

Course Status

  • Active - Courses with an active status
  • Archive - Courses that have been archived

Date (Timeline)

  • The date timeline looks at all the dates associated with the trainees’ courses and modules. If any date associated with the trainees’ courses or modules falls within the range given, they will be accounted for in the reports.
    • Example: The timeline is set to look at August 1st, 2017 - August 31st, 2017. John Smith was invited to Course 1 on July 1st, 2017, and completes the course on August 2nd, 2017. When you look at a report that includes data for Course 1, John Smith will be included in the count because his completion date falls within the designated.

Custom Fields

  • 10 custom fields (1 for Standard accounts)
  • Each field drop down corresponds to a custom field in the system.
  • Choose a custom field and all the data on the page will be filtered to only people that have that specific custom field .
    • If you choose multiple options within one dropdown the system will look for any user that has one of the selected options, you are creating an “OR” statement. Example: For the “Favorite Color” custom field, if you select “Blue” and “Purple” from the dropdown, the page will filter to all users who have either “Blue” OR “Purple” as their favorite color.
    • If you choose to narrow your data via 2 or more dropdowns you are creating an “AND” clause. Example: If you choose “Blue” from the “Favorite Color” dropdown and then “Sales” from the Department dropdown you are looking for all users who have “Blue” AND “Sales” in their custom field entries.

Overview Tab

The Overview tab gives you a quick snapshot of how much training is taking place. Date filters are available to narrow or broaden your focus. Aggregate stats provide a great way to monitor the health of your overall training program. These statistics are a great way to display the effectiveness of your training program. Most statistics provided on the Overview tab can be clicked on to reveal the underlying data.

Courses

  • This graph shows the total number of courses in the account. There is one bar for Active Courses and one for Archived Courses.
  • Clicking on a bar within the graph shows a list of each course with the selected status and how many trainees are currently in each status.
  • This report is not impacted by the timeline.

Trainee Statuses

  • This chart shows the aggregate breakdown of trainee statuses for all courses in the account.
    • Example 1: If a trainee is in two courses, 1 where they are invited, 1 completed, they would show up in both “slices” of the “donut”.
    • Example 2: If a trainee is in two courses, both of which they have completed, when you click on the completed “slice” you’ll see their name with a count of 2.
  • This graph is impacted by the timeline.

Trainees

  • Aggregate data that shows the number of trainee instances in each state.
    • Example: 82 course states are Invited. That could mean 1 person is currently Invited to 82 courses, or 1 person could have been invited to 80 courses and 2 other trainees were invited to one course each.
    • Clicking the individual numbers will reveal a lightbox with the names of the trainees in these states.
  • Total Training Time is the amount of time all trainees have spent in all courses for the time period selected.
    • Training time for a course is comprehensive, in that, even if you’ve narrowed the date range to a specific date, if the trainee’s course appears in the report and the course has been completed, the entire training time for that trainee, for that course, will be included.
  • Average duration is for all courses and all trainees (based on filters).
    • Average is calculated based on courses that are in a completed status.
    • Duration is calculated as time spent in the course interface, from the time the trainee starts a course until they finish a course. If the trainee logs out of a course before it is completed, the duration clock will stop until they log back into the course.
    • Time spent reviewing a course does not count toward the duration.
  • This report is impacted by the timeline.

Course Completion Trend

  • This graph shows the number of course completions month over month. Each time a trainee completes a course it is counted in this graph.
    • If a trainee is reset in a course and then completes that course in another month, the graph will change and reflect this course reset.
  • This chart is impacted by the timeline and only applies to completed courses.

Average Time of Course Completion (minutes)

  • This report looks at how long each trainee spends in a course, the average time for all completed courses is taken and graphed month over month.
  • This chart is impacted by the timeline and only applies to completed courses.

Trainee Detail Tab

The Trainee Detail tab shows course progress for each of your trainees. Select which trainee you would like to see results for. Summary statistics appear at the top with more detail by course below. All of these reports can be exported to Excel, PDF or CSV. These reports are commonly referred to as Transcript reports.

Overall Report (Course)

  • This report gives an aggregate overview of all the course states pertaining to the selected trainee.

  • The “Average Score” is calculated by taking all the courses scores from all the completed courses.

  • This chart is impacted by the timeline.

Course Report

  • This report lists all the courses assigned to the trainee, with the dates of their progress.

  • The report includes their current status, and results from any completed courses.

  • This chart is impacted by the timeline.

  • Clicking the “Download” link, will open a lightbox that allows you to download an Excel friendly version of this report.

Course Module Level Report

  • This report shows the selected trainee’s progress through each of the courses’ modules.

  • The “Reused Score” column shows if the trainee had taken the module in a different course and reused the score from that module, instead of retaking the module. (Allowing the trainee to do this is a feature turned on in the administrative interface.)

  • This chart is impacted by the timeline.

  • Clicking the Download link, will open a lightbox that allows you to download an Excel friendly version of this report.

Course Tab

Course reports shows the progress of Trainees through a series of modules within a Course. Select the Course you want to report on in the top left section. The Course reports will give you a summary of your Trainees in the Course at the top of the screen. Summary statistics can be drilled into by clicking. Below is a detailed report featuring all Trainees in the course, including their scores for the individual modules.

Course Overview

  • This report gives an aggregate overview of all trainees in the course.

  • The “Average Score” is calculated by taking all the course scores from all of the Trainees who have completed the course and dividing by the number of trainees who have completed the course.

  • Total Training Time - the aggregate time spent by all trainees in the course. Only includes Trainees who have completed the course (pass or fail).

Course Progress Report (By Module)

  • Each bar of this graph shows the breakdown of trainee statuses in the module.

    • Example: The module “Fifth Module” has 1 trainee in an invited status, 1 trainee who has passed the module and 1 who has failed the module.

  • Clicking each section will provide the names of each trainee in the particular status.

  • This chart is impacted by the timeline.

Course Report

  • This report provides a list of trainees in the course and their current status in the course.

  • This report is impacted by the timeline.

  • Clicking the Download link, will open a lightbox that allows you to download an Excel friendly version of this report.

Course Module Level Report

  • This report shows the trainees’ progress through each of the courses’ modules.

  • The filter at the top allows you to decide which module’s details you want to view.

Module Tab

The Module Detail tab shows statistics for each of your modules. Select the module you want to see in the first filter. All stats displayed will be for the module selected. Overview statistics are clickable to reveal the underlying data. Additional details regarding trainee statuses and quizzes are provided below.

Module Overview

  • Total Training Time: the total time spent in a module, by all trainees, across all selected courses, who have completed the module.
  • Average Duration: The total time spent in the module by all trainees, divided by the number of trainees who have taken the module.

Quiz Details

  • This report lists all the quizzes in a module.
  • The quiz score is the average score based on all trainees who have completed the quiz.
  • This report is not impacted by the timeline filter.
  • When the title of the quiz is clicked a lightbox provides a grid that lists each of the questions in the quiz and the percentage of correct vs. incorrect answers. (See below)

Tip: To determine how your quiz questions are working, drill into the detail for a quiz by clicking the name of the quiz in the Quiz Details section. That will reveal the average score for each of your questions in the quiz.

Slide

  • The Slide graph shows how much time is spent, on average, on each slide in the module by trainees who have completed the module.
    • In this example, slide 3 takes trainees the most time.
  • This graph is not impacted by the timeline filter.

Exports Tab

The Export tab available on the Reports page and it allows you to export the following reports in various formats. 

Export All Users

  • This includes email addresses / user names, trainee name, status, all custom fields (if applicable), groups associations, and last activity dates

Export All Modules

  • This is a list of all modules in your Mindflash account including total number of trainees in Invited, Started, Completed, Passed and Failed state, Average Score, and Average Duration of module.

Export All Courses

  • A list of all Courses, including total number of trainees in Invited, Started, Missed Deadline, Completed, Passed and Failed state, Average Score, and Average Duration of course.

Export all Modules and Users

  • A list of all Modules and Trainees associated with the Modules including current status in module, score, invite, completion and last activity dates.

Export all Courses and Users

  • A list of all Courses and Trainees associated with the Courses including current status in course, score, invite, completion and last activity dates.

Filters work to narrow down data pulled in reports. To export the data, click on the title of the report and this will open up a window where you can preview it. In the same window you will see the option of downloading your data as a PDF, Excel XLS/XLSX, or CSV. 

Hint: If you are having trouble with very large excel downloads, use the filters to cut down on the size of your download.  

Note

  • Advanced reports collect data even if you are not currently on a Standard, Premium or Enterprise tier. Historical data will be maintained should you decide to upgrade.
  • Advanced reports update once a day on the Standard tier (2:09AM Pacific Standard Time) and three times a day on the Premium and Enterprise Tiers (8:09AM, 2:09PM, 6:09PM PST).
  • Once Advanced reports begin updating, it may take up to 2 hours for the process to finish updating.
